Doug's Place Covid-19 Touchless Repair System

VUCA is an acronym that stands for volatility, uncertainty, complexity and ambiguity, a combination of qualities that, taken together, characterize the nature of some difficult conditions and situations.

Covid-19 has certainly created some extreme conditions and situations that impact our health, safety, and finances as we know it.  Running essential services and keeping our economy sustainable takes many people working together towards a common goal.

We at Doug’s Place understand our role as an essential service provider and know we have to continue to provide peace of mind solutions to safely serve Albertans in their time of need.

Therefore, in this VUCA environment we wanted to introduce our Covid-19 Touchless Repair system as a flexible option for our touchless and social distancing needs at this time.

Step 1 – Filing the claim

File your claim with your insurance company 

  • Request your insurance adjuster to forward a digital assignment to the Doug’s Place location of your choice.  Please review the advanced certifications and locations page to help assist you with your choice.

  • If your insurance company can’t send a digital assignment ask them to email their request to one of our locations.

  • If the damages are more than $2000, you will require a police sticker.  Please contact the police station for their current practice for reporting an accident.

Step 2 – Download our Mobile Estimating Application

  • Download our easy to use photo estimating tool. 

  • Just follow the easy instructions for capturing all the necessary information and the photos of your vehicle damages and required photos. 

  • The entire process should take a few minutes then just hit submit and you’re done!!

Step 3 – Estimate Triage

  • We will receive your insurance assignment.

  • We will receive your file submission.

  • Our estimators will now review everything and prepare an estimate for review.

  • We may require more photos or request an in-person estimate if damages are concealed.

  • If the vehicle is determined to not be safe to drive, we can arrange for the vehicle to be towed to our facilities for tear down.  If a replacement vehicle is needed, we will coordinate with your adjuster on your entitlement and a touchless rental delivery.

Step 4 – Insurance Approval

  • We will submit our estimate and the photos you captured for us to the insurance company for their approval.

  • This could take a few hours to a few days depending on the insurance companies work load.

Step 5 – Customer Review and Authorization

  • Upon insurance approval, we will submit to you the approved estimate and a digital repair authorization.

  • We will go over any questions you may have with the estimate, repair, and claims process.

  • If everything is in order, you can electronically sign the authorization and return it to us.

Step 6 – Ordering Parts and Scheduling

  • Once we receive the authorization, we will order and determine your parts availability.

  • Once we know the expected delivery of your parts, then we will schedule you a repair date.

  • We will coordinate a touchless rental if your policy has rental coverage.

Step 7 – Appointment Reminders

  • We will contact you with a reminder via your preferred communication method for your repair date and your rental status:

    • Phone

    • Email

    • Text

Step 8  - Touchless Rental

  • We can pick-up your vehicle from your home if you do not feel comfortable with dropping it off at our facilities.

  • We can coordinate dropping off a rental at your preferred location via the preferred rental provider.

Step 9 – Vehicle Repairs

  • We will practice the following Covid-19 Precautions:

    • The following components of the vehicle will be sanitized upon pickup (arrival) & again after repairs with proper disinfectant:

      • Seats

      • Seat Belts

      • Steering Wheels

      • Gear Shifters

      • Interior Trim Panels

      • All buttons and switches

      • Keys

    • While in for repairs the following will have plastic covers added for protection: 

      • Seats

      • Steering Wheels

      • Gear Shifters

  • We will repair your vehicle per our OEM repair standards.

  • We will update you through your preferred communication method and establish protocols for payment of deductibles and final delivery.  

  • You have the option of paying via E-Transfer or by paying via credit card.

Step 10 - Touchfree Delivery of Disinfected Vehicle

  • Once the vehicle is complete, we will arrange a time to drop off their finished vehicle and coordinate with the rental agency to pick up their rental vehicle.

  • A final cleanup of interior surfaces and keys will be done once dropped off.

  • A final invoice will be emailed to you once we have final approval from the insurance company and acknowledgement of payment for our collision services. 

  • Our national transferable lifetime warranty, that helps you get the best resale value if or when you sell your vehicle, will be emailed once registered with the NTLW.
